PostyliUser guide

From profile to sent application, in 4 steps

Postyli tailors your CV to each offer, sends it from your Gmail to one recruiter or a whole list, and shows you who opened it.

Before you start

Nothing to install: Postyli runs right in your browser, on a computer as on a phone. An account is optional for candidates.

  1. Choose an offer on the home page, then click Tailor my CV and apply: your CV is tailored to the offer and turned into a PDF.
  2. Send your application. If the offer gives an email address, sending opens with the address already filled in. Otherwise the PDF is downloaded and Open the application page takes you to the page where you apply (the company's website or the job site that published the offer): attach the PDF there.
  3. Keep track of your applications: an offer you applied to then shows Applied on dd/mm/yyyy.

My CV, in the top bar, gathers the four steps of an application. The frieze at the top of these pages ticks each finished step, and you can go back to any of them: your work is kept.

Postyli speaks French and English: the FR / EN button at the top right (in the menu on a phone) switches every button and message, and your choice is remembered in this browser. The language of your CV is chosen separately, at step 3.

Finding an offer

The home page gathers the offers of many job sites and the ones companies publish on Postyli, newest first. Internships & apprenticeships, in the top bar, shows internships, final-year projects and apprenticeships.

  • Search for a job title, a skill or a company, and choose a country.
  • Narrow down with the filters: date posted, type of offer, contract type, experience and workplace (on-site, hybrid, remote). All brings back every offer of a filter; Clear filters resets them all.
  • Open an offer to read it in full. It has its own address, which you can share. Save keeps it for later: you find it again in My space.
  • Translate an offer written in another language (German, Swedish…): it shows an In German tag, and Translate into English, on its page, has your AI translate it (choose one in Settings). Show the original goes back to the original text, which prevails. Applying always starts from the original text: your CV keeps the recruiter's keywords.

Only offers published within the last 6 months are shown: older ones are almost always filled. The Date posted filter narrows it further, down to offers from the last 24 hours.

Your account

Without an account, everything works and your data stays in your browser. An account lets you find it again on your other devices.

  1. Click Sign up, at the top right. A company goes through For companies (see Verified companies).
  2. Choose a password of at least 10 characters. A phrase of a few words is safer and easier to remember.
  3. Confirm your address with the 6-digit code received by email. It is valid for 10 minutes; remember to check your spam folder.
  • In My account, On my account too keeps your CV, your saved offers and your applications on your account, to find them everywhere.
  • Code at every login also asks for a code received by email at every login: your account stays protected even if your password is found out.
  • Forgotten your password? Forgotten password?, on the login page, sends you a code to choose a new one.

For security, after 3 wrong codes, the code is no longer valid and you are taken back to the home page: start again and ask for a new code.

Choosing an AI mode

Open Settings (the ⚙ icon in the top bar), Artificial intelligence tab. The chosen mode tailors the CV and writes the letters. For an AI, paste the key you got on the provider's website (links below).

ProviderAPI keyBest for
HeuristicNoneStarting right away. Sorts your experience by the offer, without writing anything.
Google Geminiaistudio.google.comFast and good quality.
OpenAIplatform.openai.comGood cost/quality ratio.
Groqconsole.groq.com (free)Very fast.
DeepSeekplatform.deepseek.comGood understanding of context.

The Heuristic mode is enough for a first CV. To generate cover letters, letter templates, content translated into the other language or to translate offers, choose an AI provider.

1

Master profile

Your complete profile, entered once. It is the source of every targeted CV: be thorough, the tailoring will pick what matters for each offer.

Three ways to fill it in

Import a CV

Import a CV takes the information of your current CV automatically, as a PDF.

By hand

Contact details, summary, experience (one achievement per line), skills by family, education, projects, languages, certifications.

Example

Replace with the sample profile, in the ⋯ menu, loads a demo profile to discover the tool.

Backing up your profile

The profile is saved automatically in your browser. To keep it safe or move it to another computer:

  • Download a backup (.json), in the ⋯ menu, saves your profile to a file.
  • Restore a backup loads a profile back from that file.

Clearing the browser's data erases the profile. Download a backup after every big change.

2

Targeting & tailoring

Paste a job offer: Postyli picks out its title and ATS keywords, then reorders and rewords your profile for that position.

  1. Paste the full text of the offer (or click Load an example to try). From an offer of the home page, this text is filled in for you.
  2. Click Show keywords to see the detected title and the skills asked for.
  3. Click Tailor my CV. Postyli then creates the PDF and opens the Sending step, which recalls the targeted position and the match score.

Zero hallucination: the tailoring only reorders and rewords what is in your profile. No experience, degree or figure is ever made up.

3

Layout & PDF export

Choose the look and the language, generate the PDF, then download it.

TemplateStyle
Modern & CleanElegant, touches of blue, clear hierarchy, ATS-friendly.
Classic CorporateCorporate / academic, serif typeface.
Minimalist 1-PageCompact and dense, made to fit on one page.
  1. Choose the template and the language of the CV (FR or EN). The headings are translated; with an AI, the tailored content is too.
  2. Click Generate the PDF and check the preview.
  3. Click Download the PDF.

Setting up Gmail

To send your applications, Postyli connects to your Gmail account with an app password, never your usual password.

  1. Turn on 2-Step Verification on your Google account (required for app passwords).
  2. Create an app password at myaccount.google.com/apppasswords. Google shows 16 characters.
  3. Open Settings, Email tab, and enter your Gmail address and that password.
  4. Click Test the connection (no email is sent), then Save. The yellow dot next to Settings goes away.

The password stays only in this tab and is erased when it closes. It is never saved on the server. You can revoke it at any time from your Google account.

4

Application

Two modes, through the tabs at the top of step 4.

For the target offer

A letter written for the offer of step 2, sent to one recruiter.

Bulk sending

A reusable letter, personalised automatically for one address or a whole CSV list.

“For the target offer” mode

  1. The tailored CV is attached by itself: change template or language at step 3 if needed.
  2. Click Write with AI. Read and edit the subject and the text as you like.
  3. Enter the recruiter's address, then Send the application.

If you change the offer or the language, the letter is flagged as written for another offer: regenerate it before sending.

Bulk sending

Write a letter once: Postyli personalises it for each recipient and sends the emails one by one, spaced out to protect your Gmail account.

1. Prepare the template

Pick a starting template (FR or EN), create one with New, or let the AI write it with Generate with AI. Use these variables in the subject and the text (their names stay in French, like the CSV columns):

VariableReplaced by
{entreprise}The CSV's “entreprise” column (company)
{poste}The CSV's “poste” column (position)
{contact}The CSV's “contact” column (recruiter's name)
{nom}Your name, from the profile
{contact|Dear Hiring Manager}Default value when the cell is empty

Click Save the template: sending always uses the saved version.

2. Choose the recipients

Enter one address (with company, position and contact) then Use this address, or Import a CSV. The first line must hold the column names; only email is required (English names such as company, position and name work too):

email;company;position;contact
hr@acme.com;ACME;Data Engineer;Ms Martin
jobs@globex.com;Globex;Python Developer;
talent@initech.io;Initech;;Mr Durand
  • A file saved as CSV from Excel or Google Sheets works, accents included.
  • Invalid addresses and duplicates are set aside automatically.
  • Addresses already contacted from this browser are left out, unless you tick “Contact the addresses already contacted again anyway”.
  • A recipient for whom a variable without a default value is empty is skipped: never a “Dear ,”.

3. Check, then start

  1. Browse the Preview with the arrows: each email is shown exactly as it will leave.
  2. Choose the attached CV: the CV compiled at step 3 or an imported PDF.
  3. Set the delay between two emails. It varies by ±20% each time for a natural pace; stay above 30 s.
  4. Click Start sending, check the summary (number, estimated time) and confirm.

4. Follow the run

The Progress card shows each status and the countdown to the next email.

  • Pause / Resume: holds the queue without losing anything.
  • Stop: cancels the emails left. New run starts from scratch.
  • If Gmail refuses the connection, sending pauses: fix the password, then resume.
  • Tab closed or reloaded? The progress is kept: select the CV again and resume. An email being sent when the tab closed is marked “Failed” so it is never sent twice: check your sent emails.

Keep the tab open while sending: your browser drives the queue.

5

Tracking your emails

Tick Track when this email is opened before sending, then open My space to see which recruiters opened your application.

  • The box is unticked by default, in both sending modes.
  • Choose the period at the top: 24 h, 3 days, 7 days, 30 days, 90 days or All. Emails count on the day they were sent, opens on the day they happened.
  • Click a row of the table to see each open. Export as CSV, in the ⋯ menu, makes a file Excel can read.
  • The table updates itself every minute while it is shown: an opened application gets its dated Opened stamp. Refresh forces an update.

An approximate measure: Gmail can under-count, Apple Mail can count automatic opens, Outlook often blocks images. Viewing your own copy in “Sent” counts too.

The sending history stays in this browser. Clear the history deletes it: the statistics are then no longer available.

Verified companies

A company can publish its offers on Postyli. To protect candidates from fake offers, none is published before an administrator has verified the company.

Publishing your offers

  1. Click For companies, at the top right, and create your account with your company's email address: free mailboxes (Gmail, Outlook, Yahoo…) are not accepted.
  2. In My company, describe it: its name, its website (on the domain of your email address) and its business registration number (in Tunisia, the RNE unique identifier: 7 digits and a letter).
  3. An administrator verifies it in the national business register and on your website. You get an email as soon as it's done; if it is refused, the email says why, and you can correct it.
  4. Publish your offers with Publish an offer. Written before the verification, they wait, then all appear at that moment, marked Verified company.

An offer that asks candidates for money (application or training fees…), a payment by Western Union or in cryptocurrency, bank details, a copy of an ID card or contact through a messaging app only (WhatsApp, Telegram) is reviewed by an administrator before being published. Changing your company details has them verified again: your offers are withdrawn meanwhile.

For candidates

The Verified company tag marks an offer published on Postyli by the company itself. The other offers come from the job sites listed below. A recruiter never asks for money to apply: if in doubt, Report this offer, on the offer's page, alerts the Postyli team, without an account and with nothing that identifies you.

Data & privacy

Your data stays in your browser. Postyli only keeps anonymous counters and, if you create one, your account.

DataWhere it is kept
Profile, offer, languageYour browser, until you erase it.
Translated offersThe offer's text goes through Postyli to your AI provider, with your key; the translation comes back to your browser alone, for as long as the tab is open. Postyli does not keep it.
AI settings and keyYour browser. The key is only used while tailoring a CV or writing a letter, never kept by Postyli.
Gmail passwordThis tab only, erased when it closes.
Letter templates, contacted addresses, runs in progressYour browser.
Generated PDFsSent straight to your browser, never kept by Postyli.
Open tracking (if turned on)Postyli: only the dates and number of opens, with no recipient or subject, erased after 90 days.
Account (optional)Postyli: your email address, the account type and your password in an unreadable form that no one can read back. A sign-up never confirmed is erased after 7 days; Delete my account erases everything.
Your data on the account (if you turn it on)Postyli: your CV, your saved offers and your applications, only with On my account too. Going back to Only in this browser erases them. Never your AI key or your Gmail password.
Company (company accounts)Postyli: the company's details, the state of its verification and its offers. Delete my account erases the company and withdraws its offers.
ReportsPostyli: the reported offer and the reason, until they are handled. Nothing that identifies the person reporting.
Sending limitsPostyli: your IP address in a scrambled form, never the address itself, and the time of each email, erased after 24 hours.
Audience measurementVisits are counted globally (page views, country, device type), with no advertising cookie.

Offers marked “Verified company” are published on Postyli by the companies themselves. The others are gathered from the following job sites and career pages, which remain their publishers: Adzuna, Arbeitnow, Arbetsförmedlingen, Ashby, Bundesagentur für Arbeit, France Travail, Greenhouse, Himalayas, Jobicy, Jooble, Keejob, Landing.jobs, Lever, Recruitee, ReliefWeb, Remote OK, Remotive, SmartRecruiters, Teamtailor, Tunisie Travail, We Work Remotely, Workable, Working Nomads.

Limits

To protect your Gmail account and prevent abuse, sending is capped.

LimitValue
Emails per minute5
Emails per day100 (only successful emails count)
Recipients per bulk run50
Minimum delay between two emails30 seconds

In any case, Gmail caps personal accounts at about 500 recipients a day.

FAQ & troubleshooting

The most common situations and how to solve them.

“Gmail refused the connection”

Check that you are using an app password (16 characters) and not your Google password, that 2-Step Verification is on and that the address is right. Use Test the connection to check without sending anything.

“Too many emails” or “Daily limit reached”

You have reached one of the sending limits. A bulk run tries again once by itself after a minute, then pauses. The daily limit frees up over the following 24 hours.

The writing button says “Choose an AI to write”

Writing letters needs an AI. Open Settings, Artificial intelligence tab, choose Gemini, OpenAI, Groq or DeepSeek and paste your key. In the “For the target offer” mode, an offer must also be pasted at step 2.

“Translate into English” asks for an AI

Offers are translated by the AI you choose in Settings (Gemini has a free tier). With the Heuristic mode, which writes nothing, an offer cannot be translated.

My CSV is refused: “No “email” column”

The first line must hold the column names. Recognised: email, e-mail, mail, courriel for the address; entreprise, société, company; poste, intitulé, job; contact, recruteur, name.

Some recipients are “skipped: missing variables”

The template uses a variable (e.g. {poste}) that is empty for those rows. Fill in the CSV or add a default value: {poste|open application}.

The PDF is not generated

Try another template or shorten a very long text, then click Generate the PDF again. Special characters (&, %, #, C++…) are handled automatically.

Does the CV work with applicant tracking systems (ATS)?

Yes. The templates produce a PDF with selectable text and the tailoring reuses the offer's keywords. The Modern & Clean template is specially optimised for ATS reading.

“Too many wrong codes”: I was taken back to the home page

After 3 wrong codes, the code received by email is no longer valid, for security. Start the login, sign-up or password change again: a new code is sent to you. Copy it from the latest email, the earlier ones no longer work.

I lost my profile

Without an account, the profile lives in the browser: it disappears if you clear its data or change browsers. Use Restore a backup with your latest backup file, or import your CV again. To never lose it again, create an account and choose On my account too.
